The Challenge
5GAA brought a full day of live connected vehicle technology into the real world in Sacramento, pairing a morning conference, with a keynote from California's Secretary of Transportation, with an afternoon of eight separate live demonstrations spanning V2X tolling, satellite connectivity, and roadside safety systems, run by member companies including Audi, BMW, Qualcomm, Verizon, and HARMAN.
That meant two coverage jobs running on two different clocks under one client relationship: a photographer on the conference floor from 9:00 to 13:30 working from a photo briefing, with first images due in 24 hours and the full set by the following Monday, and a videographer on the demo floor from 9:00 to 17:00 working from a script, tasked with cutting eight separate demonstrations into one 2-minute highlight video with two rounds of feedback built into a two-week window. 5GAA needed one point of contact who could plan and run both briefs at once, not two freelancers booked separately and left to sort out logistics on the day.
The Solution
GetCameraCrew ran the job as a producer, not just a booking agent. Both specialists came from our vetted network, people already proven on precise, scripted, deadline-driven shoots, rather than unknown hires brought in for a single date. Before the event, we broke 5GAA's brief into two separate production plans: a photo brief built around the conference's speaker schedule and a video brief built around the provided demo script and the eight individual technology stations, each with its own setup and handoff.
On the day, that planning is what kept both shoots moving independently without either one slipping. The photographer worked the conference session start to finish inside the 9:00 to 13:30 window. The videographer worked all eight demo stations across the full day, coordinating directly with 5GAA's on-site contact to move between stations on schedule. For the edit, narration used an AI-generated voiceover, so script and timing could be revised instantly across both feedback rounds instead of waiting on new studio takes.
The Result
First conference photos were delivered within the 24-hour window, with the full photo set following by the Monday deadline. The 2-minute highlight video, cut from all eight demo stations, went through two rounds of feedback and was delivered within the two-week window, now live on 5GAA's own YouTube channel.
